Switching from Fresha

A step-by-step plan for moving from Fresha to TimeToBook: what comes across, what you set up yourself, and how to switch your booking link over.

4 min read

Moving from Fresha takes about an hour if you set things up in the right order. Your upcoming bookings can come across in a CSV file, and your clients come with them. Everything else is quick to set up by hand.

What moves across, and what doesn't

What How it gets into TimeToBook
Upcoming bookings Import a CSV of appointments from Fresha
Clients Created automatically from the bookings you import
Services Add them yourself, or ask us to load your list
Staff and working hours Add them yourself
Client notes, past visit history, payments, vouchers, reviews These don't come across

The client import only works with Timely's export format, so Fresha clients come across through your bookings instead. Anyone who has a booking in your file gets a client record, with their phone and email if the file has them. Clients with no upcoming booking won't be added, but they're created automatically the first time they book with you.

1. Set up your staff and hours

  1. Add your team in Staff & Services. See Managing staff.
  2. Set your opening hours in Settings → Business Hours.
  3. If someone works different hours from the business, give them custom hours on their Working Hours tab.

2. Add your services, with the same names as Fresha

The bookings import needs every service in your file to already exist in TimeToBook. Use exactly the same names as in Fresha, and the importer matches them for you. Different names still work, but you'll have to match each one by hand.

Add services on the Services tab of Staff & Services. See Setting up services for durations, prices, processing and buffer time.

There's no CSV import for services. If you have a long service list, contact support and send it to us, and we can load it for you.

3. Export your appointments from Fresha

In Fresha, look in the reports area for a list of appointments that you can download as a CSV file. If you can't find it, Fresha's support team can point you to it.

Before you download:

  • Only include upcoming appointments. Past bookings fill your TimeToBook reports with old history, and they aren't needed to run your diary.
  • Include phone and email if you can. They let TimeToBook send reminders and match returning clients.

The file needs a date, start time, end time, client name, staff name and service name for each booking. The column names don't have to match ours, because you match them up in the importer.

4. Import one week first

Don't import everything in one go. Export a single week, import it, and check it looks right.

  1. Open Settings → Import Data and click Bookings.
  2. Upload your file and work through the steps.
  3. On the Map columns step, check the Date format carefully. A wrong date format puts bookings on the wrong day. Then check the numbers on the Review step.
  4. Click Import, then look at that week on your Calendar.

If it's wrong, click Undo this import, fix the mapping, and try again. When the test week looks right, import the rest.

Importing bookings walks through every step of the importer.

Reminders after you import

Importing doesn't send clients a confirmation. But imported bookings are real TimeToBook bookings, so clients will get your TimeToBook reminders before their appointment, as set in Settings → Notifications.

If Fresha is still sending reminders too, clients may get two. Turn off Fresha's reminders once your bookings are in TimeToBook.

5. Check your booking page

Open your booking page in a private browser window and make a test booking, like a client would. Check the services, prices and times look right. See Your public booking page and How booking start times work.

This is the step that actually moves new bookings across. Replace your Fresha link everywhere clients find it:

  • Your Instagram bio
  • Your Google Business Profile booking link
  • Your website and Facebook page
  • Any QR codes or cards on your front desk

Sharing your booking page shows where to find your link and how to add it to each of these. It's also worth sending your regulars a short message with the new link.

7. Run both for a little while

Keep Fresha open until the bookings you had there have passed, or until you've imported them all. Once everything is in TimeToBook and new clients are booking through your new link, you can close your Fresha account.
