Rebooking reminders
Automatically email clients when they're due back, with a one-tap Book again link that picks the same services and stylist. A TimeToBook Plus feature.
Regulars don't usually leave because they're unhappy. Life gets busy and they forget to book. Rebooking reminders help clients come back on their own: when a client is due back and hasn't booked, they get a friendly email with a Book again button that takes them straight to your booking page with the same services and stylist already picked. All they do is choose a time.
Rebooking reminders are part of TimeToBook Plus. Plus is included with Team plans and during your free trial. Without Plus, the Rebooking Reminders card shows a Get Plus link instead of the settings.
Turning it on
- Go to Settings → Notifications.
- Find the Rebooking Reminders card and switch on Send rebooking reminders.
- Under Remind clients, choose when the email goes out: from 2 weeks after their visit up to 16 weeks after their visit. The default is 6 weeks.
Changes save straight away. If you have more than one location, set this up for each location.
Different timing for different services
A cut usually comes round sooner than a colour. To give a service its own timing:
- Go to Staff & Services and open the Services tab.
- Edit the service and choose a Rebooking reminder, for example 5 weeks after.
- Save the service.
The Rebooking reminder option only appears on services when you have Plus.
Leave it on Use your default timing to use the setting from the Rebooking Reminders card. If a client had several services in one visit, the reminder goes out at the soonest one, so a cut and colour follows the cut's timing.
Who gets a reminder
A client gets a rebooking reminder when all of these are true:
- They had a confirmed or completed appointment, and the chosen number of weeks has passed since it.
- They have nothing else booked at any of your locations. Anyone who has already rebooked is left alone.
- They have an email address and haven't unsubscribed from your emails.
Each visit triggers one reminder at most, so nobody gets chased with repeat emails. Reminders go out during the day (between 9am and 7pm your time), never overnight.
When you first switch it on, clients who became due in the last two weeks get a reminder. Clients who were due before that aren't emailed, so switching it on won't send a flood of emails to people who visited long ago.
What clients see
The email comes from your business name, with the subject "Time for your next visit to (your business name)?". It reminds them which services they had, mentions their stylist by first name, and has a Book again button. If you've added an email address in Location Details, replies go there.
Tapping Book again opens your booking page with:
- the same services already selected,
- the same stylist selected (if they're still taking online bookings),
- their name, email and phone filled in.
They just pick a time and confirm. If a service or stylist is no longer available online, that part is skipped and they choose again.
Every reminder includes an unsubscribe link. Unsubscribing stops these reminders, but clients still get their booking confirmations and appointment reminders.
Seeing the results
Once reminders start going out, the Rebooking Reminders card shows how they're doing over the last 90 days, for example "4 of 10 clients reminded booked again, worth $320." A client counts as booked again if they make a new appointment within 30 days of their reminder.
Good to know
- Reminders are email only, so they never use your SMS credits.
- Clients without an email address on file won't get one. Adding emails to your client records helps more regulars come back.
- No-shows and cancelled appointments don't trigger a reminder.
