Client self-rescheduling

With TimeToBook Plus, clients can move their own appointment to a new time from their Manage Your Booking link. Here's what they see, the rules, and what you're told.

With TimeToBook Plus, clients can move their own appointment to another free time, straight from the Manage Your Booking link in their confirmation and reminder messages. No phone tag, no cancelling and rebooking, and the slot they leave opens up again for someone else.

On the free plan clients can still cancel online and book a new time, but there's no reschedule button.

What clients see

On their Manage Your Booking page, below the appointment details, clients see a Need a different time? box with the line "You can move this booking until..." and a Change date or time button.

Tapping it shows:

  1. A row of dates to pick from.
  2. The free start times on that day.
  3. A button that reads Move to and the new date and time, so they know exactly what they're confirming. Keep current time closes it without changing anything.

Once they confirm, the page shows "Your booking has been moved" and the new time.

What they can and can't change

  • Same staff member, same services. Clients move the whole appointment to a new time. They can't swap staff, add or remove services, or change the length. For any of that, they can cancel and book again, or get in touch with you.
  • Multi-service appointments move together. Every service in the appointment shifts by the same amount, so the order and gaps stay the same.
  • Only genuinely free times. Times are offered in 15 minute steps inside the staff member's working hours and your business hours. The whole appointment (including any buffer time) has to fit without clashing with anything else on their calendar.

When clients can reschedule

Rescheduling follows the same notice rule as cancelling. If your Cancellation notice is 24 hours, clients can move their booking up until 24 hours before it starts. After that the reschedule box disappears and they're asked to contact you.

The new times they're offered follow your booking page rules:

  • Up to 30 days ahead, or less if your booking window is shorter.
  • Lead time is respected, so they can't move to a time sooner than you allow for new bookings.
  • Same-day bookings: if you've turned these off, today isn't offered.

The reschedule box doesn't show for bookings that are cancelled, completed, or marked as a no-show.

Turning it on or off

Client rescheduling is on by default for Plus salons. To change it:

  1. Go to Settings → Booking Page.
  2. Scroll to Booking Rules.
  3. Use the Client rescheduling toggle. Cancellation notice just above it sets how close to the appointment clients can still move it.
  4. Click Save Settings.

If you set Cancellation notice to Disabled, clients can't reschedule either, even with the toggle on.

What you're told

When a client moves their booking:

  • The location's owners and managers, and the staff member the booking is with, get a "Booking moved" notification in the bell, showing the old and new times.
  • Email and app alerts follow each person's Booking Cancelled choices in Account → Notifications. If you've ticked email or push for cancellations, you'll get them for moves too.
  • A note is added to the booking: "Rescheduled by client from..." with the old time and when they moved it, so there's always a record.
  • The booking moves on the calendar right away and the old time becomes bookable again.

What the client is sent

  • A fresh confirmation email with the new time. It goes out whenever the client has an email address, even if you've turned off confirmation emails for new bookings. It shows in Messages as a confirmation.
  • No SMS. The new time is only sent by email.
  • Reminders start over. Reminders are worked out from the new time, so a client who already had a reminder for the old time gets one for the new time too.

Deposits

If the client paid a deposit, it stays with the booking. Moving the appointment doesn't charge anything extra or refund anything, and the confirmation page and email still show the deposit paid and what's left to pay at the salon.

A booking with a deposit can only be moved while cancelling would still get the deposit back, so before your free cancellation cutoff (or your cancellation notice, if that comes first). The Manage your booking page shows the exact deadline. After that, clients are asked to contact you if they need a different time, so a late move can't be used to get round the cutoff.

Once moved, the cutoff counts from the new time. See Online payments and deposits for how refunds work.

Getting Plus

Client rescheduling is part of TimeToBook Plus. Team plans and free trials include Plus. On the free plan, go to Settings → Billing and click Get Plus. See Billing, trials and plans for details.

Tips

  • Keep your staff hours up to date. Clients only see times inside each staff member's working hours, so accurate hours mean better options.
  • Rescheduling saves bookings. A client who can move their appointment in a few taps is far less likely to cancel or simply not turn up.
  • Keep your phone number current. When it's too late to reschedule online, clients are shown a button to call you, using the number in Settings → Location Details.
