Subscribing to your calendar on your phone

Sync your TimeToBook bookings to Apple Calendar, Google Calendar, or Outlook so they live alongside the rest of your day.

If you'd rather see your bookings in the calendar app you already use — Apple Calendar on your iPhone, Google Calendar, or Outlook — TimeToBook can publish a read-only feed that updates automatically. Subscribe once and your bookings keep flowing in.

This is not a two-way sync. Bookings still get created in TimeToBook; you just see them in your phone's calendar alongside birthdays, dentist appointments, and everything else.

Subscribing your own calendar

If you're a staff member with a TimeToBook login, your booking calendar is one tap away.

  1. Open the Calendar page.
  2. Look for the Subscribe to this calendar notice near the top.
  3. Tap Add to Apple Calendar on your iPhone or iPad, or Add to Google Calendar on a desktop browser.
  4. Confirm the prompt in your calendar app.

Your bookings will appear within a few minutes. Apple polls the feed roughly every 15 minutes; Google every few hours. There's no way to make either app poll faster — that's a calendar-app limitation, not a TimeToBook one.

If you don't want to see the notice again, tap Dismiss and it stays gone for your account.

Sharing a staff member's calendar (owners)

Owners and managers can also generate a subscription link for any staff member, then send it to them.

  1. Open Staff & Services and click the staff member you want to share.
  2. Switch to the Calendar tab inside their edit panel.
  3. Click Show calendar subscription link.
  4. Copy the URL, or use the Add to Apple Calendar / Add to Google Calendar buttons to test it.

Send the link by SMS or email to the staff member — they paste it into their calendar app once.

Treat the link like a password

The subscription URL contains the staff member's bookings: client names, services, and phone numbers. Anyone who has the URL can subscribe — there's no login required. If a link is ever shared by mistake, or a staff member leaves, click Regenerate link on the same tab. Every device subscribed to the old link will stop receiving updates, and you'll need to share the new one with anyone who should still have access.

What appears in the feed

  • Booking title (service name)
  • Start and end time
  • Client name and phone (in the event notes)
  • Cancelled bookings are removed automatically

The feed updates in TimeToBook every time you move, edit, or cancel a booking — your calendar app picks up the change on its next poll.

Troubleshooting

  • Nothing's showing up. Give it 15 minutes for Apple, a few hours for Google. If still nothing, regenerate the link and re-subscribe.
  • It's showing old data. Calendar apps cache aggressively. Remove the subscription and re-add it.
  • Wrong staff member's bookings. Each link is tied to a specific staff member — generate a new link from the right person's profile.
