Why didn't I get an email about a new booking?

The three ways TimeToBook tells you about new bookings, which ones are on by default, and how to test that alerts are reaching you.

4 min read

TimeToBook can tell you about a new booking in three different places. Only one of them is on by default, which is why a lot of people expect an email and don't get one.

The three kinds of new booking alert

Alert Who gets it On by default? Where to change it

Your personal email and app alerts Owners, managers and the staff member booked App: yes. Email: no Account → Notifications

The bell

Every new online booking puts a New Booking notification in the bell for the location's owners and managers, plus the staff member the booking is with (if they have a login). You don't need to set anything up. See In-app notifications.

Your personal email and app alerts

These are set separately for each person, so every team member chooses their own.

  1. Go to Account → Notifications.
  2. Find the New Booking row ("When a client books an appointment").
  3. Tick Email to get an email. Tick App to get an alert in the TimeToBook app.
  4. Click Save Preferences.

Email is off by default, so if you've never ticked it, you won't get one. App is on by default, but it only works once you've installed the TimeToBook app, signed in and allowed notifications on your phone.

New Booking Alert (your salon's email)

This sends one email per online booking to your location's email address, whoever the booking is with. It's handy for a shared salon inbox.

  1. Check your salon has an email address in Settings → Location Details, in the Email field. Save it if you add one.
  2. Go to Settings → Notifications.
  3. Under Your Notifications, tick Email on New Booking Alert. It saves straight away.

Once it's on, you'll see which address the alerts go to just underneath. If the tick box is greyed out, your location doesn't have an email address yet.

Bookings you add yourself don't send alerts

Alerts are for bookings clients make on your public booking page. Bookings that you or your team add on the calendar, or in the TimeToBook app, don't alert anyone. You made them, so you already know about them. (If you ask Tim to make a booking, the rest of the team is alerted, but you aren't.)

If a client pays a deposit when they book, the alerts go out once the deposit is paid.

Testing that it works

The best test is to book yourself in as a client:

  1. Open your booking page link in a private or incognito window, or on a phone where you're not signed in to TimeToBook. See Sharing your booking page if you need your link.
  2. Book a service, using your own name and a different email or phone from your login if you can.
  3. Check the bell, your inbox and the salon inbox.
  4. Cancel the test booking from the Calendar afterwards.

Use a private window because TimeToBook doesn't send you a personal alert for a booking you made while signed in. The salon's New Booking Alert email still goes out either way.

Still no email?

  • Check spam or junk. Search your inbox for "New Booking". The subject line starts with New Booking and then the client's name and service.
  • Check the address. Personal alerts go to the email on your TimeToBook login. New Booking Alert goes to the Email in Location Details, which might be a different inbox.
  • Check you saved. In Account → Notifications, changes only stick once you click Save Preferences.
  • Check what was sent. Open Messages and choose Alert in the All Types filter. If the alert is listed as Sent or Delivered, it left TimeToBook and the problem is on the inbox side. If it shows Bounced, the address is wrong or the inbox is refusing mail.

If everything above looks right and emails still aren't arriving, contact support with the client's name and the booking time, and we'll check the delivery logs.
